What Do the W-Series Forms Do?

They move identification and withholding details between the people in a payment relationship. The W-9 gives a payer your taxpayer identification number for year-end 1099s. The W-4 tells an employer how much federal tax to hold back from each paycheck. The W-7 applies for an ITIN when you cannot get a Social Security number.

None of them reports income by itself — that is the job of the W-2 and the 1099s built from these forms. Getting the W-series right first is what makes the year-end paperwork accurate.

W-9, W-4 and W-7 — Which One Do You Need?

The W-9 hands your taxpayer identification number to whoever is going to pay you. It never goes to the IRS; requesters keep it on file to prepare year-end 1099s such as the 1099-NEC.

Form W-4 Employee's Withholding Certificate

The W-4 tells your employer how much federal income tax to withhold from each paycheck. New job, new dependent, second income — a fresh W-4 keeps the withholding honest.

The W-7 applies for an ITIN, the tax processing number for people who cannot get a Social Security number. It usually travels with the tax return that needs it.

W Forms Questions, Answered

What is the difference between a W-9 and a W-4?
The W-9 is contractor paperwork — it gives a payer your TIN for year-end 1099s. The W-4 is employee paperwork — it sets paycheck withholding.
Do W-series forms go to the IRS?
The W-9 and W-4 do not; they go to the requester or employer. The W-7 goes to the IRS, usually attached to a tax return.
Where is the W-2?
The W-2 has its own maker on this site. It is a year-end wage statement employers file, not a form you hand to a payer.
