What Are the Payroll Tax Forms?

Form 941 is the quarterly return most employers file. It reports the wages you paid, the income tax you withheld, and both shares of Social Security and Medicare tax. Schedule B rides along for semiweekly depositors, and the 941-X corrects a return that has already been filed.

Two annual returns complete the set: Form 940 for federal unemployment (FUTA) tax, and Form 944 — the once-a-year version of the 941 that the IRS assigns to the smallest employers.

941, Schedule B, 941-X, 940 and 944 — What Each One Does

Form 940 reports federal unemployment tax — FUTA. It is annual and employer-paid only, applying to the first $7,000 of each employee's wages. Employers who pay state unemployment tax on time keep most of the rate as a credit.

Form 944 is the annual version of the 941 for the smallest employers. The IRS assigns it by notice when annual payroll tax liability is $1,000 or less — one filing a year instead of four.

When Are Payroll Forms Due?

Form 941 is due on the last day of the month that follows each quarter: April 30, July 31, October 31 and January 31. The annual returns — 940 and 944 — are due January 31, 2027 for the prior year, and a 941-X can be filed as soon as you spot an error.
